Effective 28 September 2026.
1. Who we are and what this covers
Home Portal Ghana Ltd is the data controller for personal data collected through homeportalgh.com. We are registered in Ghana, company number CS007940126, registered office 30 Liberation Road, Accra.
This policy explains what personal data we collect when you use the Platform, why we collect it, who we share it with, how long we keep it and what rights you have over it. It applies to everyone who uses the Platform — agents, agencies, property owners, buyers and tenants, and visitors who never create an account.
We handle personal data in line with Ghana’s Data Protection Act, 2012 (Act 843).
This policy forms part of our Terms of Service and takes effect on 28 September 2026.
2. What personal data we collect
| Category | What it includes | When we collect it |
|---|---|---|
| Account | Name, username, email address, phone number, password (stored hashed, never in readable form) | When you register |
| Verification | Your Ghana Card number (we do not collect photos or scans of the card), and for Agencies a business registration number | When you apply to be a verified Agent or Agency |
| Listing content | Property descriptions, addresses, prices, photographs, floor plans, and the contact details you choose to display | When you create or edit a Listing |
| Transactions | Credit purchases, order history, amounts, dates, and the last four digits of a card where our payment provider returns them | When you buy credits |
| Communications | Enquiries sent through the Platform, messages to support, and our replies | When you contact us or another User |
| Technical | IP address, browser and device type, pages viewed, and the timestamps of logins and failed login attempts | Automatically, as you use the Platform |
We do not collect your full card number or CVV. Those go directly to our payment provider and never reach our systems.
3. Identity verification data
This is the most sensitive data we hold, so we set out separately what happens to it.
What we ask for. Individual Agents provide Ghana Card details and a mobile number we can confirm. Agencies additionally provide business registration documents, such as a certificate of incorporation.
Why. So that buyers and tenants dealing with an agent on this Platform are dealing with a real, identifiable person or business. Property fraud in Ghana frequently depends on anonymity, and verification is how we reduce it.
What we do with it. Our team reviews the details you give us manually for consistency (for example, that the number is in the correct format and is not already used by another account) and, where applicable, against official or third-party records. We record whether verification passed or failed and when.
What we never do. We do not publish your Ghana Card number. They are not shown on your public profile, are not included in Listings, and are not visible to other Users. We do not sell them or use them for marketing.
Who can see them. Access is limited to authorised personnel of Home Portal Ghana Ltd who need it to carry out or review verification. Other Users never see it.
4. Why we use your data
- To run your account — creating it, signing you in, keeping it secure.
- To publish your Listings — the property details and contact information you choose to display are shown publicly, because that is the point of a listing.
- To verify Agents and Agencies — so buyers and tenants can tell who they are dealing with.
- To process credit purchases — taking payment, allocating credits, keeping records, and emailing you before credits expire.
- To pass on enquiries — when a buyer or tenant contacts you about a Listing, we deliver that message and share the contact details needed to reply.
- To keep the Platform safe — detecting fraudulent listings, duplicate or bot accounts, and abuse of the registration or login systems.
- To support you — answering your questions and investigating problems.
- To improve the Platform — understanding which features are used and where people get stuck.
- To meet legal obligations — tax, accounting, and responding to lawful requests.
We rely on your consent where the law requires it, on the performance of our contract with you for the account and credit functions, and on our legitimate interest in running a safe and useful platform for the rest. You can withdraw consent at any time, though doing so may mean we can no longer provide parts of the service.
5. What is public and what is not
This distinction matters, so read it carefully.
Public. Your Listings, including property details, photographs, price, location, and the contact details you enter for enquiries. Your public profile as an Agent or Agency, including your display name, photograph if you upload one, and your verification badge. Anything public can be seen by anyone on the internet and may be indexed by search engines.
Not public. Your Ghana Card number and business registration number. Your password. Your email address and phone number, unless you have chosen to display them on your profile or a Listing. Your transaction and credit history. Your IP address and technical logs. Private messages, other than to the User you sent them to.
You control what goes into the public half. If you do not want a phone number visible to the world, do not put it in a Listing.
6. Who we share data with
We do not sell your personal data. We share it only as set out here.
- Other Users. When you send or receive an enquiry, the contact details needed to continue that conversation are shared with the other party.
- Payment provider. Card and mobile money payments are handled by our payment provider, which receives the information it needs to process the transaction. We never see your full card number.
- Hosting and infrastructure providers. Our servers, email delivery, and backups are operated by service providers on our behalf, under contract, and may involve storage outside Ghana.
- Verification services. Where we use a third party to confirm identity or business registration details, we share only what that check requires.
- Professional advisers. Our accountants and lawyers, where necessary.
- Authorities. Where we are required by law, court order, or a lawful request from a regulator or law enforcement agency.
- A buyer of the business. If Home Portal Ghana Ltd is sold or merged, User data may transfer as part of that transaction. We would tell you before it took effect.
Some of these providers operate outside Ghana. Where your data is transferred abroad, we take reasonable steps to ensure it is protected to a standard consistent with Act 843.
7. How long we keep it
| Data | Retention |
|---|---|
| Account data | While your account is open, then 1 year after closure |
| Listings | While published, then 1 year after removal |
| Verification details (Ghana Card number, registration number) | 1 year after your account closes, then deleted |
| Transaction and credit records | 7 years, as required for tax and accounting |
| Support messages | 2 years |
| Technical and security logs | 90 days |
| Backups | Overwritten on a rolling cycle; data in backups is deleted as those backups age out |
We may keep data longer where we are required to, or where it is needed for an ongoing dispute or investigation.
8. Your rights
Under the Data Protection Act, 2012, you have the right to:
- Be informed about how we use your data — this policy is part of that.
- Access the personal data we hold about you.
- Correct data that is inaccurate or incomplete. Most of it you can edit yourself in your dashboard.
- Object to processing in certain circumstances, and to withdraw consent where we rely on it.
- Prevent processing for direct marketing — you can unsubscribe from marketing email at any time.
- Ask us to delete your data, subject to the records we are legally required to keep.
- Complain to the Data Protection Commission if you believe we have mishandled your data.
To exercise any of these, email support@homeportalgh.com. We will respond within 14 days. We may ask you to confirm your identity first, so that we do not hand your data to someone else.
9. Deleting your account
You can ask us to close your account at any time by emailing support@homeportalgh.com.
When we close it, we remove your Listings from public view, remove your public profile, and delete your verification details within the period set out above. We keep your transaction records for the 7 years tax law requires, and we keep a minimal record that the account existed and was closed, so that we can handle any later dispute.
Unused credits are not refunded on account closure. See our Terms of Service.
10. Cookies and tracking
We use cookies and similar technologies for:
- Essential functions — keeping you signed in, remembering your cart and preferences, and protecting against cross-site request forgery. The Platform does not work without these.
- Performance — caching, so pages load quickly.
- Analytics — understanding how the Platform is used in aggregate.
You can block or delete cookies through your browser settings. If you block essential cookies, you will not be able to sign in.
11. Security
We protect your data with encryption in transit (HTTPS across the whole Platform), hashed password storage, two-factor authentication on administrative accounts, rate limiting on login and registration, restricted staff access to verification data, and regular backups.
No system is completely secure. If a breach occurs that is likely to affect your rights, we will notify you and the Data Protection Commission as required by law.
12. Children
The Platform is for adults. You must be at least 18 to create an account, and we do not knowingly collect personal data from children. If you believe a child has given us personal data, contact us and we will delete it.
13. Changes to this policy
We may update this policy as the Platform changes or the law requires. The effective date at the top shows when the current version took effect. For significant changes we will notify registered Users by email or through the Platform. Continuing to use the Platform after a change takes effect means you accept the updated policy.
